What we collect

When taking information from clients to provide them with a service, we collect the following information:

• Full Name
• Email address
• Telephone numbers
• Address
• Date of birth
• Information relating to current health and/or medical issues

What we do with the information we gather

We require this information to understand your needs, to provide you with a better service and to ensure your safety.


Security

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.
There are only two staff members who have access to all personal records – Keri Taylor and James Taylor.
Individual coaches have contact details for the clients with whom they work directly. They do not have access to information on any other clients.


How we use cookies

Controlling your personal information

• We will keep your data on our system whilst you are an active client of New U Functional Fitness. When you leave our services, please inform us if you wish for your data to be deleted. This will be done so immediately.

We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We may use your personal information to liase with schools and agencies (e.g. Children's Services) only if you are directly concerned with them already. Again, this will not be done without your prior consent or knowledge.

You may request details of personal information which we hold about you under the Data Protection Act 1998. If you would like a copy of the information held on you please email admin@newufunctionalfitness.co.uk.

If you believe that any information we are holding on you is incorrect or incomplete, please email us as soon as possible. We will promptly correct any information found to be incorrect.

CCTV POLICY

1. Purpose
 
The purpose of this CCTV policy is to ensure the safety and security of gym members, staff, and property by monitoring the premises using Closed Circuit Television (CCTV) cameras. The system is used in compliance with all applicable laws to prevent and detect criminal activity and enhance the overall security of the gym.
 
 
2. Scope
 
This policy applies to all employees, members, visitors, and any other individuals accessing the New U Functional Fitness premises.
 
 
3. Objectives
 
The primary objectives of the CCTV system are:
 

• To provide a safe and secure environment for gym users and staff.
• To deter and detect unauthorised or illegal activities.
• To monitor entrances, exits, and key areas of the facility.
• To ensure compliance with gym rules and policies.
• To support investigations of incidents, thefts, or any other breaches of security.

 
 
4. Location of CCTV Cameras
 
CCTV cameras are located in three areas of the gym – two in the far corners and one in the front window area.
 
 
5. Operation of the CCTV System
 
The CCTV system will operate 24 hours a day, 7 days a week.
 
The system is monitored remotely, with live footage accessible by the gym owners only.
 
Recorded footage is stored securely and retained for a minimum period of 72 days before being deleted unless required for investigations.
 
 
6. Access to CCTV Footage
 
Access to recorded footage is limited to:
 

• New U Functional Fitness owners (Keri & James Taylor)
• Law enforcement agencies upon request for investigative purposes
• Individuals requesting access to footage involving themselves (subject to legal guidelines)

 
 
7. Data Protection and Privacy
 
The CCTV system is operated in accordance with data protection laws (e.g., GDPR).
 
Personal data (CCTV footage) will only be used for the purposes outlined in this policy.
 
Any request for access to personal data must be submitted in writing and will be processed within one calendar month in accordance with relevant legal guidelines.
 
8. Signage and Notification
 
Clearly visible signs will be placed at key points within the gym to inform members and visitors that CCTV cameras are in operation.
 
 
9. Use of CCTV Footage
CCTV footage will be used strictly for:
 

• Security and safety purposes
• Investigating incidents or allegations of misconduct
• Providing evidence to law enforcement in the event of criminal activity
• Supporting insurance claims

 
 
10. Misuse of the CCTV System
 
Unauthorised access to, or tampering with, the CCTV system or its recordings is strictly prohibited and will result in disciplinary action, including possible termination of employment, gym membership cancellation, and legal proceedings.
